Refunds for studio seats

These rules apply only to teaching seats at Pilot Base Pattern Lab: group studios, the Saturday clinic, pullback coaching blocks, and private markup. We do not sell shipped goods, software licences, or recorded course libraries, so those models are omitted on purpose.

Eligibility

A refund discussion starts only if we have confirmed your seat and you have paid a deposit or the listed teaching fee by the method we agreed on the telephone. Informal “I might come” messages are not paid seats.

Timeframe

Ask in writing or by telephone at least 72 hours before the first advertised hour of your session. Requests inside that window are treated as late cancellations unless we cancelled the room.

Full refund

You receive the amount you paid if we cancel the studio, if the instructor cannot attend and we cannot offer another evening within fourteen days, or if you cancel 72 hours or more before the start and no printed handout unique to that date has already been prepared for you.

Partial refund

If you cancel between 72 and 24 hours before a group studio or clinic, we keep 30% of the fee as a room hold and return the rest. If you have already sat the first evening of a two- or three-evening block, we refund only the remaining unused evenings, minus 20% of those unused evenings for the reserved chair.

Non-refundable items

The GEL 60 seat deposit for private markup is non-refundable once the 90-minute slot is reserved, because that hour is taken off the public calendar. Printed chart packs that have been custom-printed from your files are non-refundable once printing has started.

Process

Call +995 599 120 345 or write to studio@panel-pilotbase.click with your name, the session title, and the date. We confirm what was paid, what evenings remain, and whether a deposit applies. We do not process refunds through this website.

Processing time and method

Approved returns are sent by the same method you used to pay, usually within ten working days after we agree the amount. Bank or transfer fees charged by your provider stay with you.

Cancellation by the studio

Storm closures, building faults, or instructor illness trigger a full return or a free move to the next advertised date of the same session — your choice.

Rescheduling

Group seats may be moved once, if another chair exists in a later cycle of the same title, requested 72 hours ahead. Private markup may be moved once if you give 48 hours’ notice; a second move forfeits the deposit.

Deposits

Group studios may ask for GEL 80 to hold a chair in a full room. That deposit is folded into the fee if you attend. It is returned under the full-refund cases above.

No-shows

If you do not arrive and do not call before the start, the evening is used. No refund for that evening. Remaining evenings in a block stay available if you contact us the same day.

Work already started

Once silent markup has begun, that evening is considered delivered. We will not refund a partial hour because you left early.

Purchased materials

Pencils and spare paper in the room are free. If you asked us to print a personal chart pack, that print cost is not refunded after the printer has run.

Exceptions

Documented medical emergency or bereavement: we move the seat or refund unused evenings in full, even inside the 72-hour window. We may ask for a simple note; we do not need diagnoses.
